Build a yearly renewals calendar

Gather every recurring deadline in one calendar, from insurance and MOT to passports and TV Licence, with reminders early enough to compare and act.

Use this guide if you have ever been caught out by an expired document, a missed MOT or an insurance policy that renewed at a higher price. Have your bank statements, insurance documents, vehicle paperwork and passports to hand, plus the calendar you already use.

Step by step

  1. Gather renewal dates

    Go through documents, emails and bank statements to find every recurring deadline. Include insurance, breakdown cover, energy and broadband contracts, MOT, vehicle tax, passports, driving licence photocards, TV Licence and memberships.

  2. Record them in one list

    Make a simple table with the item, provider, renewal or expiry date, reference number and who is responsible. Note any notice periods for cancelling or switching.

  3. Set lead times

    Decide how early to act for each. Allow several weeks before insurance renewals to compare, and extra time for passports before travel. Check current processing guidance on GOV.UK where timing matters.

  4. Add two reminders each

    Put each item in your calendar with one reminder at the start of the lead time and another just before the deadline. Use a shared calendar if others in the home are involved.

  5. Act and update

    When a reminder comes up, compare, renew or cancel, then update the list with the new date and any new reference. Save the new documents in your admin hub.

  6. Review once a year

    Pick a fixed month for a yearly check. Add new items, remove ones you no longer have and check that every date is still correct.

Practical tips

  • Many renewal notices must show last year's price, so compare it with the new quote.
  • Put the renewals list somewhere printable in case you cannot access your phone.
  • Add less obvious items such as boiler servicing, chimney sweeping or a pet's vaccinations.

Common problems

I cannot find the expiry date for something.

Log in to the provider's account or phone them with your reference number, and ask them to confirm the date in writing.

A policy renewed automatically before I compared.

Check your policy terms and contact the provider promptly; many allow cancellation within a set period, though fees may apply.

Reminders get ignored.

Link the reminder to your weekly admin session and make it a specific action, such as get three quotes for home insurance.
