Create a mail merge for letters, labels and envelopes

Turn a spreadsheet of names and addresses into personalised letters, envelopes or address labels, ready for Christmas cards or customer mailings.

Estimated time: 40–60 minutesUpdated: 28 September 2026

Use this guide when you need to send the same letter or labels to many people with their own names and addresses. You need a word processor with a mail merge feature, a spreadsheet of contacts and, for labels, the product code printed on the label sheet packet.

Step by step

  1. Prepare a clean contact spreadsheet

Put one person per row with clear column headings such as First name, Surname, Address 1, Town and Postcode. Keep each part of the address in its own column and remove blank rows. Check for duplicates and typing errors before you start, because the merge copies mistakes exactly.
