Create an online form and collect responses

Build a clear online form for bookings, sign-ups, surveys or feedback in Microsoft Forms or Google Forms, and collect the answers neatly in a spreadsheet.

Estimated time: 45–90 minutesUpdated: 1 October 2026

Use this guide when you are collecting the same information from many people by email or paper, such as event sign-ups, customer feedback or volunteer availability. You need a Microsoft or Google account and a clear idea of what you will do with each answer.

Step by step

  1. Decide exactly what you need and why

Write the purpose of the form in one sentence, then list every question and next to it what you will do with the answer. Delete any question you cannot justify, especially personal details, because under UK GDPR you should only collect what you need. If you collect personal data, plan a short privacy line explaining who will see it, what it is for and how long you will keep it.
