Run a smooth video call on Teams, Zoom or Meet

Set up your camera, microphone and connection, join on time, share your screen confidently and fix common problems during video calls.

Use this guide before an interview, a remote meeting or a family call where you want things to go smoothly. Have the meeting link, the device you will use and headphones if you have them.

Step by step

  1. Install and update the app early

    Open the meeting link at least a day before if you can, and install or update the app it asks for, or check it runs in your web browser. Sign in if the meeting requires an account. Updates can take a while, so do not leave them until the last minute.

  2. Test sound and camera

    Use the preview screen or the device settings in the app to check your microphone, speakers and camera before joining. Zoom offers a test meeting and Teams and Meet show a preview when you join. Headphones reduce echo and background noise noticeably.

  3. Set up your space

    Sit facing a window or lamp rather than with light behind you, and raise the camera to about eye level. Check what is visible behind you, or use the background blur option. Close noisy apps and put your phone on silent.

  4. Improve your connection

    Move closer to your router or use a wired connection if possible. Ask others at home to pause large downloads or streaming during important calls. If the call becomes choppy, turning your video off usually keeps the audio working.

  5. Share your screen confidently

    Close private tabs, emails and notifications before sharing. Choose to share a single window rather than your whole screen, so only that content is shown. Say when you start and stop sharing, and check others can see it.

  6. Use good call habits

    Join a couple of minutes early and mute yourself when not speaking. Use the raise hand or chat feature in larger meetings. Note any actions agreed at the end and follow up in writing if needed.

Practical tips

  • Keep a phone dial-in number from the invite handy in case your internet fails mid-call.
  • If you are presenting, have your file already open so you are not searching for it while others wait.
  • Rename yourself properly in the participant list so people know who you are, especially in interviews.

Common problems

People cannot hear me.

Check you are not muted in the app and that the correct microphone is selected in the audio settings. Also check the computer or phone has given the app permission to use the microphone in its privacy settings.

There is echo or feedback.

Echo usually comes from speakers being picked up by the microphone. Use headphones, turn your speaker volume down, or ask anyone else in the same room to mute and leave the call.

My camera shows a black screen.

Close any other app that might be using the camera, check the app's camera permission in system settings, and make sure there is no privacy shutter over the lens. Restarting the app or device often clears it.
