Make Word documents and PDFs accessible

Create documents that screen readers and people with low vision can use, with proper headings, alt text, readable tables and a correctly tagged PDF.

Estimated time: 30–60 minutes per documentUpdated: 1 October 2026

Use this guide before sending a letter, report, form or newsletter to the public, customers or staff, especially if you work with councils, schools or the NHS who expect accessible documents. Have the document open in Word or a similar word processor.

Step by step

  1. Run the built-in accessibility checker

In Microsoft Word, go to Review, Check Accessibility to open a list of errors, warnings and tips; similar checkers exist in other office suites. Fix the errors first, as these block screen reader users completely. Keep the checker open as you work so new problems appear as you go.
