Shrink large photos, PDFs and videos to send

Reduce the size of photos, PDFs, documents and videos so they upload and email reliably, or share them by link when they are still too large.

Estimated time: 15–30 minutesUpdated: 1 October 2026

Use this guide when an email bounces because an attachment is too big, a website upload rejects your file or you need to send many photos at once. Keep the original files safe, as you will make smaller copies.

Step by step

  1. Check the limit and the file size

Find the size of your file by right-clicking it and choosing Properties on Windows or Get Info on a Mac. Check the limit for where you are sending it: email providers and upload forms state a maximum, and the recipient's limit can be lower than yours. If you are only slightly over, compressing is quick; if you are far over, skip to sharing by link in step 6.
